CLASSIFICATION SUMMARY:
Library Assistant I performs responsible paraprofessional, library work. The work involves oversight of library circulation services, provides excellent customer service, assists library patrons, maintains
automated library circulation database, processes library materials, answers reference queries, and
provides programs for all ages. This position involves competing demands, performing multiple tasks
and working to deadlines. Work is performed within the policies established by the Village of Ruidoso. This is a full-time position that will regularly work 40 hours per week; may include weekend, holidays, and be called in when needed; the schedule may be adjusted based on the needs of the department. The incumbent of this position must be able to adapt to flexible work schedule as established by the Library Director. This position is a non-exempt, works under the supervision of the Library Director.

DUTIES AND RESPONSIBILITIES:

  • Regular attendance is an essential function of this job to ensure continuity of services.
  • Checks in/out library material, places holds, reserves library material, assists patrons with
    accessing their online accounts, creates library membership records, and collects library fines.
  • Sorts and shelves books.
  • Interacts with customers, responds to inquiries, issues of concerns, and request for information,
    or explanation regarding services, processes, procedures and library policies, use of computers
    and location and retrieval of information, to provide the appropriate level of assistance and
    response.
  • Updates and maintains information, records, systems notices, and databases in various formats
    and mediums.
  • Assists with planning, preparation and implementation of library programs;
  • Provides routine care and maintenance of library equipment as needed and directed to meet
    established goals.
  • Receives, processes, and handles library materials for collection; affixes barcodes, security
    strips, spine labels, genre labels, and bookplates in accordance with established processes and
    procedures, retrieves items from book drops in a timely and consistent manner to accurately
    shelve materials within the appropriate areas(s); repairs and replaces book jackets and
    performs minor repairs of materials.
  • Collects fines using prescribed systems and methods; performs cashiering and cash handling
    functions to include receives cash, performs daily reconciliation, makes deposits to Finance
    Department, and maintains petty cash fund in accordance with Village Policy and Procedures.
    Performs a variety of research and support activities and assists with special projects as
    required; prepares and presents various special and recurring reports and forms to provide
    accurate and timely information.
  • Using professional reviews and following the Library’s Materials Selection Policy, recommends
    library materials for the collection.
  • Ensures excellent customer service.
  • Compliance with State of New Mexico Library Laws and Regulations, and the American Library
    Association’s Statements.
  • Works with other library staff to create an environment within the Library that encourages
    learning, reading, and use of the library.
  • Must be able to establish and maintain professional and courteous working relationships with
    children, parents, co-workers, supervisors, and other Village personnel.
  • Adheres to safety practices and standards, attends safety meetings and trainings.
  • Works with a variety of electronic hardware and software programs and applications including
    Apollo Integrated Library Software, Microsoft Office Suite, and proprietary databases.
  • Liaison with the Art Council, Ruidoso School District, and other community organizations.

Other Responsibilities or Job Requirements

  • Completes personal timesheet accurately and timely enters time Employee Self Service software
    daily/weekly and ensures time is reported based on actual time worked.
  • Must maintain knowledge of library computer software, Microsoft Office, and web posting.
  • Ensures that any on-the job injury is reported immediately to Supervisor and Director; ensures
    compliance with all Village of Ruidoso Policies and Procedures including but not limited to
    Personnel Manual, Procurement Policy etc; ensures any reports of harassment are immediately
    reported so appropriate actions are taken. Reports any suspected fraud and/or abuse to the
    Director, Village Manager or Deputy Village Managers
  • Must exercise good judgment, courtesy, and tact when dealing with customers in person and by
    telephone, and with proper disposition of problems.
  • Must maintain professional level writing skills and be able to understand and follow procedures
    and guidelines.

Physical Demands

Ability to maintain physical condition and stamina appropriate to the performance of assigned
duties and responsibilities which may include sitting, standing, or walking for extended periods
of time, driving, riding in vehicles.

  • The normal duties of this position require the ability to stand for three hours at a time, lift and
    carry up to twenty- five (25) pounds, and push a loaded book cart up and down isles.
  • Work may require lifting boxes of supplies, equipment and occasional adjustment of office
    furniture.
  • Position requires frequent bending, reaching, squatting, and lifting. The employee may
    occasionally work in moderately high places.
  • Specific hearing abilities required by this job include computer sounds and public conversation.
  • Vision abilities required by this job include close vision, color vision, and the ability to adjust
    focus.

Work Environment

  • Ability to drive, occasionally long distances.
  • Work is performed in a library and office setting.
  • Works schedule which may include: weekends, evenings, holidays, and is subject to being called
    in. Ability to perform duties and adapt to flexible work schedules as established by
    management.
  • Ability to work in stressful environment and deal effectively with stress.
  • The noise level in the work environment is normally quiet to moderate pitch with occasional
    times of high noise during library programs

Travel Requirements
Limited travel – ability to travel for activities such as classes, and workshops in and out of the service
area.

MINIMUM QUALIFICATIONS:
Qualifications
High School Education or Equivalent required and one (1) year of administrative support experience in an academic, public, or special library preferred. Previous library work with computerized information systems, children, customer service, and clerical work is preferred. Current knowledge of Library practices within the last five years preferred, and experience working with the public preferred. Must be able to pass regular criminal history checks and must be willing to take and pass a drug/alcohol test and comply with agency “Drug Free” Policy.

Licenses and/or Certification
Must possess and maintain valid New Mexico motor vehicle operator’s permit of appropriate
classification and endorsement as required. Must agree to maintain a satisfactory MVR and minimum
requirement of insurability as required by law. MVR background checks will be conducted by the
Village.

KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of: Dewey Decimal System of classification, machine readable cataloging (MARC) tagging, library cataloging conventions, and Library of Congress Subject Headings; principles, techniques and practices of effective and respectful customer service; current office practices and procedures; occupational and environmental safety and health hazards, and safety practices; principles and practices of safe cash handling techniques; appropriate business English, including spelling, grammar and punctuation; business and personal computers, related software applications, and report generation; records management principles and record keeping practices’ Village organization, use of contemporary library technology and online catalogs; the Library Bill of Rights.
Skill in: using initiative and independent judgement within established procedural guidelines; reading, understanding, and applying policies, procedures, and applicable rules and regulations; applying correct English usage, grammar, spelling and punctuation; performing mathematical calculations; effectively communicating information and responding to questions from the public and employees; operating various office tools and equipment and a personal computer with installed generic and specialized software; conducting research, updating information, and maintaining records and files in various mediums and formats; reviewing and verifying data, calculations, and documentation; maintaining accurate and timely records; preparing and presenting information in a clear and concise manner; demonstrating effective interpersonal communication skills.
